A unique opportunity to make a difference in this charity which changes lives through horses. Barrow Farm Riding for the Disabled is seeking an experienced administrator to work alongside the equestrian manager, trustees and volunteers. If you are an effective communicator capable of coordinating a large team of volunteers we want to hear from you. You will be familiar with office systems, Excel databases and accounting packages and experienced in using your own initiative to prioritise multiple tasks. You will form positive working relationships with every participant, family/carer, staff member and volunteer. You will also have an interest in horses and be willing to give hands on support with riding and carriage driving sessions when necessary. JOB
In collaboration with the Equestrian Manager the post holder is jointly responsible for the daily management of the charity; the smooth operation of activities and the future development of the centre, ensuring its continued success. The post holder will work in close partnership with the Equestrian Manager to deliver the best possible use of the charity’s resources.
Responsibilities
1. PARTICIPANTS
To promote and manage the activities provided by Barrow Farm RDA, dealing with all administrative matters relating to participants once they are assessed by the Equestrian Manager. Activities include initial contact, maintaining the weekly schedule, participant records, database, invoicing and recording of monies and credit control.
To work with the Equestrian Manager to ensure maximum benefit from horses/ponies and coaches
2. PREMISES
· To manage the premises of the charity, undertaking regular Health & Safety checks, scheduling and arranging maintenance, servicing and repairs. To oversee essential maintenance, to arrange insurance and periodic review of utilities providers.
3. FINANCE
· Invoicing for all fees due and ensuring the safe receipt and recording of monies including the handling of cash/cheques.
· To ensure appropriate financial controls are in place over expenditure and that invoices are received, checked and paid when due and retained safely.
· Ensure all income is identified and recorded appropriately including the administration of gift aid on donations.
· Maintain the accounting system, identifying and recording all receipts and payments as part of a monthly bank reconciliation.
· Support the treasurer with financial reporting as required .
4. SUPPORTING EQUESTRIAN MANAGER
· This includes general queries, communication and administration, staff records and cover, licensing, risk assessments and co-ordination of activities eg pony days and horse shows.
· 5. VOLUNTEERS
Responsible for arranging recruitment, induction, retention, training and volunteers rota. To maintain records, database and effective communications.
The post holder will be expected to step into any breach in order to maintain safe operation in the absence of sufficient voluntary support.
6. FUNDRAISING & PUBLIC RELATIONS
· To work with the fundraising lead trustee on all fundraising activities. This includes maintaining the supporters’ database, acknowledging donations and collating feedback from participants. To draft reports for grant making bodies. To maintain effective relationships with all supporters.
· 7. ORGANISATIONAL DEVELOPMENT
· To assist in the development of new policies and plans for the centre by identifying opportunities, formulating plans, participating in pilot schemes and evaluating results.
· To participate in sub committees and the Board of Trustees meetings including minute taking.
8. POLICIES AND PROCEDURES
· Adherence to the Group’s policies and procedures including Health and Safety, Equine and Safe guarding. In collaboration with the Equestrian Manager, ensuring venue is safe and maintained with essential checks and ensure all procedures are understood by all.
To undertake additional or alternative tasks as required, provided they are within the post holder’s capabilities and skills base.
Qualifications
• Excellent organisational skills with the ability to manage multiple tasks simultaneously.
• Empathetic approach to disabled participants, their families and carers.
• Strong communication skills, both verbal and written, to build effective relationships with all participants, staff, trustees, volunteers and supporters.
• Proficiency in using spreadsheets for reporting and databases for communications.
• An interest in horses and the ability to assist on riding sessions when necessary (training will be given)
• A degree in Business Administration or related field is preferred but not essential.
• A licensed driver is essential.
