Agnew Equine is a thriving, independently-owned equine (horse) veterinary practice looking for a new member to join our office team of 7 office members and 6 vets on the road. We are looking for someone with significant customer care and office administration experience and excellent communication skills - who is professional, responsible, proactive, approachable and friendly - and would fit in well with our dynamic, varied, fun and upbeat office environment!

Successful candidates will have:
• Experience in office administration/management, client/customer services, general office duties
• An ability to work well under pressure in a busy office, prioritising workload whilst maintaining a warm, friendly & calm environment
• Excellent people skills and a positive, can-do attitude with a high level of organisation, proactivity and ability to multitask/prioritise and work under time pressures. Time management and a sharp attention to detail is vital.
• Horse knowledge/equestrian experience is a big plus - but not essential
• An interest in veterinary-related admin duties where training will be provided
• Computer proficiency
Key Responsibilities:
• Answering phones and serving clients in a courteous, caring, efficient and effective way by making, editing and confirming appointments, collecting payments, providing/seeking out answers to client queries, managing emergencies, prescription requests etc.
• Supporting and communicating with vets – being a focal point of communication and management for the vets out on the road and liaising between them and clients when necessary. Anticipating and addressing vet’s needs consistently throughout the day to ensure smooth running of their appointments.
• Working within our computer practice management system to manage diary and client data – with an attention to detail and confidentiality.
• Carrying out a variety of administrative duties to assist in the smooth running of the practice including: Opening incoming post, Taking delivery and unpacking supplier orders, Preparing/posting/arranging collection of medication/prescriptions for clients, General letter typing, spreadsheets, filing, etc.
• Ordering medication through our bespoke online system
• Liaising directly with equine hospitals and laboratories when we refer horses or ponies into them
• During busy periods, using your knowledge & experience to prioritise tasks effectively
• Potential for specific areas of responsibility i.e. managing client passports / microchip registrations, sarcoid admin procedure, managing vaccination reminders etc.
• Contributing to credit control when making appointments for clients
• Rota'd general office cleaning and tidying (eg emptying bins, keeping the kitchen clean etc). Vet equipment cleaning when required
Key details of employment:
• 20 days annual leave + bank holidays per annum + the day off to celebrate your birthday!
• Working hours: 40 hours Monday to Friday with a daily 8-hour shift between the hours of 8AM - 5:30PM. The rota will be provided to you in advance. Flexibility required for holiday or sickness cover within these hours.
• Hourly rate is £12.00 - £13.00/hour depending on level of experience.
• Additional holiday allowance available for overtime worked covering holiday/sickness for your colleagues
