Veterinary Receptionist/Administrator

We are looking for a highly motivated, conscientious, enthusiastic, and friendly person to join a busy reception team at our state of the art equine hospital just outside of Tewkesbury, Gloucestershire. This is an office-based role within a small team working closely with your fellow colleagues and the veterinary, and nursing departments of the practice. As the first point of contact for clients both on the phone and in person, excellent communication skills and a professional telephone manner are essential. Experience in client care and general administration is desirable as is a basic equine knowledge. Main responsibilities include, but are not limited to: • Telephone answering in a polite, efficient and professional manner. • Organising and coordinating multiple diaries including booking and rescheduling appointments at the hospital and at client premises using our client management system. • Record all messages accurately & act in a timely manner. • Assisting with clerical duties & working as a team member in promoting practice growth and development. • Meeting and greeting clients and visitors to the practice. • Satisfying client and general queries. • Client care including ensuring clients are clear on information given and seeking assistance if not. • Taking payments & adhering to the practice payment protocol. • Ensuring the reception area is clean and tidy. • Maintaining up to date computer records. • Processing incoming and outgoing post and deliveries. • Sales ledger and clinical notes inputting. Skills required from our successful candidate: • Good equine knowledge is desirable to prioritise customer calls. • Previous admin, customer service or reception experience. • The ability to remain calm and empathetic in a sometimes challenging environment. • Be able to demonstrate the ability to work as part of a team. • The ability to prioritise workload. • The ability to engage with patients from all walks of life. • Computer literacy with a knowledge of Microsoft Office/365 or online diary management systems. • Excellent spelling and grammar. • Act in a courteous and professional manner at all times. • Attention to detail. We are looking for a full time colleague working Monday to Friday 8.30am to 5.30pm or 8.00am to 5.00pm. You are also required to work on a Saturday morning 8.30am-12.30pm on a rota shared with the rest of the reception team, with time in lieu given the following Friday.
